Tracking studio tasks
Updated Oct 9, 2026
For studio ownersTasks is the studio's shared to-do list — the things that are nobody's lesson and everybody's problem. Tune the piano, chase a signature, order recital programs.
Four statuses
Open — noted, not started.
In progress — someone is on it.
Stuck — started and blocked. Its own status on purpose: work that has stalled looks exactly like work in progress until somebody says so.
Completed — done, and stamped with when.
The first three are active. The tabs above the list let you look at active work, completed work, or everything.
Assigning
A task can go to anyone on your team — you, a manager, or any teacher who has signed in to their portal. A teacher sees the tasks assigned to them in their own Tasks page and nothing else: the studio's list is not their list.
Teachers can move a task they have been given between statuses, and edit tasks they created themselves. A task can also be left unassigned when it belongs to the studio rather than to a person.
Due dates and the overdue count
A due date is a plain calendar day, not a time — nobody needs a to-do list that is late at 4:59pm. Dated tasks sort soonest-first, and undated ones sit after them.
The number beside Tasks in the sidebar counts tasks that are not finished and due today or earlier, in your studio's timezone. It is deliberately a number that can reach zero: it means something is waiting on you, not that the page has contents.
A note on what belongs here
Tasks are for your studio's own work. Something a family needs to do — sign an agreement, pay an invoice — is already tracked on the document itself, and chasing it from Documents keeps the record in one place.
