Rooms and double-booking protection
Updated Oct 9, 2026
For studio ownersIf your studio has physical space, Encore models it as locations (buildings or addresses) containing rooms (the actual teaching spaces). You set these up during the Business onboarding step, and can edit them later in Settings → Locations.
Room conflicts are blocked, not warned
When a lesson schedule is assigned to a room, the scheduler refuses any other schedule that would put a second lesson in that room at an overlapping time on the same weekday. This is enforced when you save — not just a warning you can click past — so a double-booked room cannot exist by accident.
Teacher buffers are checked too
Alongside the room check, the teacher's own calendar is validated: overlapping slots are refused, and so are gaps smaller than the teacher's buffer minutes — except between siblings at the same location, who may be back to back. A save either passes both checks or tells you exactly what is in the way.
In-home studios
If your studio operates in-home only, there are no rooms to conflict — only teacher availability and buffers apply. Studios on the Plus or Pro plan also get Routing, which helps sequence in-home lessons by drive time.
Tips
Name rooms the way your teachers talk about them ("Piano Room", "Studio B") — the names show up in scheduling.
To move a whole weekly series to a new day or time, open one of its lessons on the calendar and choose This and all future lessons. The room is checked again for every lesson that moves.
