Notification settings
Updated Oct 9, 2026
For studio ownersEverything Encore sends on your studio's behalf is governed by Settings → Communications. Each event has switches per audience — clients, teachers, and you — so you decide exactly who hears about what.
Events you can toggle
Lessons — lesson reminders and lesson-cancelled notices.
Money — invoice sent, invoice paid, quote sent, quote approved.
Documents — contract sent, contract signed.
Enrollment — new lead, enrollment started, makeup credit issued.
Recitals — recital published, reminders, sign-ups, ticket purchases, and lineups.
Portal activity — announcements, substitute/coverage updates, time-off requests, and new portal messages.
What the switches do
Every event has an Email switch, and email is on by default — you are turning notifications off, not on. The three audience columns are independent, so you can stop emailing yourself about something while your clients still hear about it.
Your own notifications: always in the app
Everything meant for you — and for managers, in the sections they hold — lands in Notifications, the bell at the top of every page, whatever these switches say. In the Owner column the switch is labelled Also email: it decides only whether you get an email copy as well. Switching one off quiets your mailbox; it never means missing the event.
Open an entry to go straight to what it is about, which also marks it read, or use Mark all read. Read notifications are kept for 90 days and unread ones for a year.
Some of these are in-app as well as email. An announcement, or a message in a portal thread, is delivered to the family's or teacher's portal whether or not the email goes out; the switch decides only whether anyone is emailed to say it is waiting.
The Text column
Beside each Email switch there is a Text column, and on a few family-facing events there is a switch in it. Those switches stay off and cannot be turned on until text messaging is set up for your studio; a line directly above them says what is still outstanding.
Until that is done they change nothing, and every notification your studio sends goes by email. Events with no switch in the Text column are email-only by design rather than by configuration, which is why the space is simply blank.
How the emails look
Studio-facing mail goes out with your studio's name as the sender name, and your logo if you have uploaded one in Settings → Business.
If you fill in BCC email (optional) in Settings → Business, a copy of every email to your clients is delivered there — handy for a records mailbox. Separate up to five addresses with commas.
A note on restraint
A few critical notices — like an event being cancelled when money and plans are involved — are always delivered regardless of toggles, because silence there does real harm.
