Managers and what they can see
Updated Oct 9, 2026
For studio ownersA manager is someone who helps run the studio — an office manager, a lead teacher, a partner — with their own login and exactly the access you give them. You choose it section by section, and you can change it whenever you like.
Inviting a manager
Open Settings → Managers and press Invite manager.
Enter their email, tick what they can manage, and press Send invitation.
If they already have an Encore Studio login — say they teach for you — they have access straight away, and are emailed to say so. Otherwise they get an email to create a login, and appear on the page once they have accepted.
The sections
People — families, students, teachers, enrollment and the booking-request inbox.
Scheduling — the calendar, coverage and subs, recitals, and routing.
Billing — products and promo codes, referrals, refunding an invoice, and the card fee.
Documents — quotes, agreements, invoices and recurring charges.
Messages — messages and announcements.
Reports — reports, except the Financial ones.
Settings — studio settings, except your subscription and this page.
Support — support tickets.
The Dashboard, the Notifications inbox and Tasks are open to every manager whatever is ticked, though a manager's Dashboard has no Financial block. A manager with nothing ticked sees the Dashboard only, and the page lists them as Dashboard only.
Some work spans two sections. Refunding an invoice needs Billing as well as the Documents that opens the invoice. Most money items on the dashboard's Needs attention list need Documents, and the ones about a family's autopay need People too.
What a manager sees
Their sidebar shows only the sections they hold, and a page outside them cannot be opened by typing its address — the hidden link and the refused page always agree. Their Notifications inbox carries the notices for their sections, and nothing else.
What always stays yours
Your Encore subscription (Settings → Billing) and the Managers page itself, whatever is ticked.
The money figures, whatever is ticked, Billing and Reports included: the Dashboard's Financial block (revenue, balance due and open invoices) and the Financial reports (revenue, sales tax, payments, outstanding balances and teacher payroll hours). A manager does not see them listed, and cannot open or export one by its address.
Turning a paused recurring charge back on. A manager with Documents can end one, but only you can resume it.
Posting and voting on the feature-request board.
A manager can never widen their own access, or anyone else's.
Changing or removing access
Use Edit access on their row; changes apply the next time they load a page. Remove takes their manager access away. A manager who also teaches for you is marked Also teaches on their row.
